Himalaya Shelter believes in providing excellent services to trekkers. Our customer-friendly policies do not just reflect in the services we offer but also in our cancellation policy.
We understand that trekkers may need to cancel their booking due to unavoidable circumstances. However, who would willingly cancel an adventurous tour to the Himalayas? Our cancellation policy has been designed with our valued guests in mind to ensure they do not face any problems or complications when canceling their trip. Therefore, we have kept it short and simple.
We take pride in saying that Himalaya Shelter has the most user-friendly cancellation policy.
Cancellation and Refund:
The days mentioned below indicate the days from commencement of the trek.
Before 30 Days to 15 Days:
100% of the amount will be refunded to the trekkers.
Upon receiving your request for trip cancellation, our accounts team will process the refund within 15 days.
Before 14 Days to 7 Days:
We will issue a voucher/coupon code for the full amount you have paid. This voucher will be valid for 18 months from your departure date.
For example, if you paid INR 5000 to book the trek on 15th August 1947 and cancel the booking between 14 to 7 days before the trek’s commencement, we will generate a coupon code and send it to you via email. This coupon code indicates that the amount of INR 5000 can be used by you within the next 18 months to join any of our confirmed departures starting from 15th August 1947.

Before 7 Days to 1 Day:
Himalaya Shelter will deduct 10% of the total trek fees as service charges and issue a voucher. This voucher will be valid for 18 months from your departure date.
Let’s illustrate this with a simple example: Suppose you paid us INR 5000 as an advance amount to book the trek on 15th August 1947, and between 6 to 1 days before the commencement of the trek, you request to cancel the booking.
Considering that the total trek fees are INR 15,000, Himalaya Shelter will deduct 10% of the trek fees (INR 1,500) from the advance you have paid (INR 5,000), resulting in a voucher worth INR 3,500. The coupon code you receive indicates that this amount can be used by you within the next 18 months to join any of our confirmed departures starting from 15th August 1947.

Cancellation By Operator:
In case a trek is called off by the operator due to unforeseen circumstances that are beyond the control of the operator, such as natural calamities, denial of permissions by various government bodies, etc., the following conditions shall be applicable
- The Operator will not be liable for any monetary refunds.
- The User/Client who has made a booking shall be entitled to book for a future trek with us, subject to the availability of fixed departures within a period of 18 months from the date of the original departure date for which the booking was made.
- The aforementioned entitlement shall be less than or equal to the amount that was paid to the operator as an advance and will be subject to deductions by the operator for the bookings that the operator may have made for the trek under consideration, such as transport, hotels, for which the services of 3rd party may have been employed.
The above-mentioned refunds are subjected to deductions for any expenses that may have been incurred for hotel booking or transport etc., by Himalaya Shelter.
Booking Terms
Himalaya Shelter – Registered Name “Himalayan Shelter” organises adventure tours and activities across Uttarakhand.
Adventure Tours and Treks organised by us come with an inherent risk of injury/illness/loss of life owing to the nature of the tours. We have an amazing safety record with 0 events where a trek/tour participant has lost his/her life.
However, these treks and tours come with an ever present risk of injuries and illness and while the same can be avoided by due preparation, they cannot be completely eliminated. It is thus the responsibility of the participant to be aware of such risks beforehand.
In recognition of the inherent risks of the activity or tour in which you will engage, upon booking your tours with Himalayan Shelter, you confirm that your are physically and mentally fit of participating in the tour. Upon signing up/ booking your tour, you are undertaking upon yourself, full financial responsibility and personal responsibility for personal injury, accidents, illness and damage to or loss of personal property as the result of any incident or accident that may occur during the adventure tour.
As it is likely that in these tours weather must be taken into account. If conditions are such that Himalayan Shelter has to change arrangements, or Himalayan Shelter can’t follow the suggested itinerary due to bad weather, Himalayan Shelter will not be able to provide any sort of refund.
If there are any other circumstances including but not limited to riot, political unrest, court or administrative orders, natural or other disaster, nuclear incident, terrorist activity, and Himalayan Shelter has to cancel a tour as a result of these circumstances, Himalayan Shelter will not be able to provide any sort of refund.
If the behavior of any trekker is likely to cause distress or harm to themselves, Himalayan Shelter’s staff or other team members, Himalayan Shelter’s guide/staff reserve the right to terminate their tour at any time and they will have to make their own arrangements; and Himalayan Shelter will not be liable for any expenses incurred as a result. Himalayan Shelter will not entertain any claims arising in case such actions are taken by our staff. If for any reason participants have to leave the tour early, they will not be entitled to any refund. Himalayan Shelter will not be liable for any expenses incurred to you as a result.
However Himalayan Shelter will try with our best of capabilities to make the arrangements that you can return to the nearest trek base or to a motor able road safely. All expenses arising due to evacuation are to be paid by you.
In case of any baggage Loss/Damage during the Trek, Himalayan Shelter will not be liable to pay any amount towards reimbursement, noting that there are (however rare) instances such as during mule carriage, or transport to remote areas, where such incidents may occur.In case of any injuries/illness during a tour/activity, HIMALAYAN SHELTER as a tour operator or any of our local staff will not be responsible. The participant has to bear all the expenses which may arise in case of any medical exigency or emergency condition.
What if you don’t want to get the voucher/Coupen code?
If you prefer a refund instead of receiving a voucher, Himalaya Shelter will charge 50% of the total booking amount and refund you the remaining 50%.
Let’s illustrate this with a simple example: Suppose you paid us INR 5000 as an advance amount to book the trek on 15th August 1947, and you request to cancel the booking between 15 to 1 days before the commencement of the trek.
Himalaya Shelter will refund you INR 2,500 (50% of the advance payment), and the remaining INR 2,500 will be charged as service fees.
What amount does Himalaya Shelter charge as an advance payment?
At Himalaya Shelter, to confirm the booking, you will need to pay at least 30% of the total trek fees.
